Notes for regional leaders

The chart on this page shows that the 2026 member renewal campaign is tracking the same path as 2025 in $. However as dues increased, this means it is 3% behind in # of members.

By this time NYSVMS have sent many emails and 2 hard-copy mailings. We will continue efforts however the campaign will be more successful if regions also contact those who have not yet renewed.

This year we are supporting you with:

  • A segmentation process that shows who is the top priority for contacts
  • Draft emails to send to each segment

Regional Variations

The chart shows regional variations in number of 2025 members who have renewed. 

For some regions there is greater urgency than others.

Note that this does not show new members. We have added around 150 new members already this year, and usually add around 300 by the end of the year.

Factors driving renewal

There are three main factors influencing renewal:

  1.  Graduation year: Those graduating in the past 10 years are twice as likely to not renew than mid-career vets
  2. Who paid last year: Those who were paid for by their hospital last year are very unlikely to renew, unless they were strongly engaged already
  3. Attending CE: Members who attended at least 1 CE are 50% more likely to renew

Segmentation

The tables of non-renewed members are divided into the following segments. This table suggests how to approach them.

A. Early-Career Self-pay with no engagement 12% More like member recruitment than renewal. Have to find opportunities to engage them. Renewal messages may be ineffective
B. Mid-career self-pay – drift 37% Seem to be less engaged than they once were. Need to show them the value of what they are missing
C1: Hospital paid in 2025 – Never paid their own dues 25% May hardly be aware that they were a member. More of a recruitment than renewal strategy like A
C2: Hospital paid in 2025 – have paid their own dues in the past 21% They have had some connection – we need to focus on welcoming them back
D: Engaged – but lapsed 4% Highest priority

A: Early career self-pay disengaged

There isn’t much that you can say in an email that is likely to be effective. This may need a personal reach-out and invitation to a regional event, or even a mini-meet. 

NYSVMS will be reaching out to this group with information about financial wellbeing programs, since this is something we know this group does respond to.

B. Mid-career self pay drift

Subject: We’ve missed having you with [NYSVMS/Regional Group]

Hi Dr. [Last Name],

I’m reaching out personally because I noticed you haven’t renewed your NYSVMS/[Regional Group] membership this year, and I didn’t want that to pass without a note.

Many of us in mid-career juggle a lot — practice demands, leadership roles, family, staffing challenges, financial pressure — and sometimes membership decisions just fall down the priority list. That’s completely understandable.

At the same time, veterinarians in your stage of career are the backbone of our regional community. You bring experience, perspective, and practical insight that younger colleagues rely on and that shape how our Society moves forward.

If there’s a reason you stepped back — whether it’s value, time, cost, or something we could be doing better — I’d genuinely welcome your thoughts. Even a short reply would help us make sure we’re serving mid-career veterinarians in ways that are meaningful and relevant.

D. Engaged but lapsed

Subject: We noticed you were involved – and we’d love to have you back

I wanted to reach out personally because we noticed you were actively engaged with NYSVMS this past year — whether through CE, events, or other programs — and we truly appreciated your participation.

That’s why I wanted to contact you when I saw that your membership hasn’t been renewed yet.

Sometimes renewal simply gets lost in the shuffle. Other times, it’s a question of timing, priorities, or whether membership still feels aligned with where you are professionally. Whatever the reason, we’d really value staying connected.

Your engagement matters. Members like you are what make our regional programs strong — not just by attending, but by contributing to the professional community we all rely on.

I’m reaching out because last year your NYSVMS membership was covered by your hospital, and we noticed it hasn’t yet been renewed for this year.

For many veterinarians, membership begins as something their employer handles. When that changes, it can feel less automatic — and it’s easy for the decision to get deferred.

I wanted to connect personally because membership isn’t just a line item. It supports your access to CE, regulatory updates, professional advocacy, and a statewide network of colleagues navigating the same clinical and practice challenges you are.

If your hospital is no longer covering dues and you’re unsure what the best next step is, I’d be happy to talk through options — including individual membership pathways.
